A kitchen fitting quote template, line by line

A kitchen fitting quote needs ten parts: who it is from and for, the work line by line, what is not included, provisional sums, who supplies what, the price with VAT, the stage payments, the programme, and your terms with the customer's right to cancel. The template below has all ten, with a worked example for a fit only kitchen, and you can fill it in free as a PDF.

What goes on a kitchen fitting quote

Kitchen quotes go wrong on a few questions the customer never thinks to ask: who is buying what, who connects the gas and the electrics, and what happens when the old kitchen hides a problem. Ten parts, in this order, answer them before they are asked.

  1. Who it is from: your name as registered, address, contact details and VAT number if you have one.
  2. Who it is for, and the address of the kitchen.
  3. The work, line by line, each with its own price.
  4. What is not included, in plain words.
  5. Provisional sums for what you cannot see until the old kitchen is out.
  6. Who supplies what: units, worktops, appliances, fixings.
  7. The price with VAT, and how long it stands.
  8. The payments, tied to stages of the work.
  9. The programme, including the gap for a worktop template.
  10. Your terms, the customer's right to cancel, and a place to accept.

The line that prevents most disputes

Fit only, or supply and fit?

Say which on the first line of the work. A fit only quote prices your labour and the fixings, and the customer buys the units, worktops and appliances from someone else. A supply and fit quote includes the goods, so you order them, you are the one who finds out they are wrong, and you carry the money until the customer pays.

On a fit only job, write what happens when the customer's units arrive. A sentence such as "the customer checks the delivery for damage and missing parts before we start, and a delay caused by missing or damaged goods is charged at our day rate" costs nothing to write and saves an argument in week one. Say too who disconnects and reconnects the old appliances, and who arranges the plumber, the electrician and any gas connection. Gas connections are a Gas Safe registered engineer's job, so put them in the exclusions unless you employ one.

Worktops need their own sentence. If a stone or timber top is templated after the units are fitted, the quote should say so, show the gap in the programme, and price the top provisionally until the template is taken. If a fabricator supplies and fits it, say that it is their price and their date.

Words that protect you

Exclusions, provisional sums and changes

Exclusions. A list of what is not included is worth more than a paragraph of what is. Tiling beyond the splashback, flooring, decoration, gas connections, asbestos, damp and any structural work are the usual ones. Write the ones you mean.

Provisional sums. Use one where you cannot know until the work starts. In the example, levelling the floor is a provisional £250.00, shown on the quote and adjusted to the actual cost. Add what you will do when you find it: tell the customer the same day, show them a photograph and agree the price before you do the work.

Changes. Customers change their minds about a socket or a handle after the quote is accepted. "Extra work is quoted and agreed in writing before it is done" turns each change into a short email and a new line, and keeps your record straight.

Validity. Prices for units and worktops move. Print an end date. Thirty days is common, and the free quote generator offers 14, 30, 60 or 90 days, or none.

Terms, fairness and the right to cancel

Write terms the customer can read, and tell them about the 14 days

The terms on a quote do not need to be long. gov.uk says, in guidance read on 5 October 2026, that the terms in a contract with a customer, and any notice you use, must be fair and transparent, and that you cannot rely on an unfair term. Short, plain terms that cover validity, payments, changes and delays are easier to defend than a page of small print copied from somewhere else.

If you agree the quote with the customer in person at their home, the Consumer Contracts Regulations 2013 give them 14 days to cancel without a reason, and stop you starting inside those days unless they ask you to in writing or by email. Put a short notice on the quote, as in the template, and keep the email if they ask you to start early. How do I quote a kitchen when the customer supplies the units?

Call it fit only on the first line, price your labour and fixings, and say that the customer checks the delivery for damage and missing parts before you start. What deposit should I ask for on a kitchen fitting job?

Do I put VAT on a kitchen fitting quote?

If you are VAT registered, yes: the standard rate is 20% per gov.uk, shown as its own line. If you are not registered, add no VAT and show no VAT number.

Do I need terms and conditions on a quote?

Can the customer cancel a kitchen quote they accepted at home?
